AI employees & teams

Improved

Your AI employee asks before big changes and writes like you

For business owners, managers and sales teams

Every AI employee on VEP now works by the same written rules: it is told to confirm the scope before it changes more than 20 records, to draft from the emails you sent and to read your sent mail before it says someone is waiting.

Why it matters

Sales teams told us their AI employees changed too much at once, wrote emails that did not sound like them and said clients were waiting after the team had already replied. The same rules now guide every AI employee, for every person it works for.

Before
Each AI employee had its own habits: it could change many records in one go, draft in a generic tone and miss a reply you had already sent.
Now
Every AI employee is asked to confirm large changes, draft from your own sent emails, check the latest messages and keep its replies short.

What you get

  • Asks before big changes: before it creates, changes or deletes more than 20 records for one request, your AI employee is told to say how many, which filter and one example, and to wait for your yes.
  • Writes more like you: before it drafts in your name, it reads your recent sent emails to the same person or of the same kind and keeps to your plain words.
  • Checks your sent mail: before it says a client is waiting for an answer, it reads the latest messages of that conversation, including the ones you sent.
  • The right colleague: when you name someone by first name only, it looks among your own colleagues first and asks you when more than one person fits.
  • Only what you asked: no extra emails, records or deletions. When you say remember this, it keeps it as a rule and does not do the task again.
  • Your notes stay whole: notes of up to 40,000 characters load with every request, rules files stay on its list, and longer notes bring you one message that says which part is not loaded.

How to use it

  1. Ask as you always do

Nothing to switch on: these rules are part of the instructions of every AI employee, in its chats, in scheduled tasks and in the emails it writes for you.

  2. Answer the scope question

When a request would create, change or delete more than 20 records, your AI employee lists how many, which filter and one example. Reply yes to go ahead, or narrow the request.

    Example

Yes, but only the deals in the Proposal stage.

  3. Teach it once

When something should change from now on, say so. Your AI employee keeps it as a rule in its notes and does not repeat the task you corrected.

    Example

Remember: always copy our sales lead on replies to distributors.

  4. Split long notes into rules files

When you get the message that the notes are longer than your AI employee loads with each request, ask it to move one topic into a rules file of its own. It sees every rules file and reads the ones a request needs.

    Example

Move the lead report rules from your notes into their own rules file.

Good to know

  • Facts about your products, prices, terms and dates come from a source your AI employee can name, such as your website, a document or your CRM; without one it says it will check.
  • Replies are short, with an empty line between paragraphs; ask for detail when you want a longer answer.
  • Your AI employee is told never to shorten or delete your notes or rules files without your yes.
  • Drafts in your voice need your connected Gmail or Google Workspace mailbox, so your AI employee can read the emails you sent.
